Doesn't Microsoft 365 already back up my email?

No. Microsoft and Google guarantee uptime and infrastructure availability — that's their part of the shared responsibility model. Backup and recovery of your data is your responsibility. Both vendors are explicit about this in their service agreements. If a user accidentally deletes a folder or ransomware encrypts a mailbox, native retention is short and the data may be gone for good.

What exactly gets backed up?

For Microsoft 365: Exchange email, OneDrive, SharePoint, Teams chats, calendar, and contacts. For Google Workspace: Gmail, Drive, Calendar, and Contacts. Three times daily, automatically, with unlimited retention — meaning data stays recoverable for as long as you keep the service.
